Project Management - delegating tasks

Today something about delegating tasks.

Delegating tasks is a critical things for effective leadership and time management. This is a key skill, whether it's agile project management or waterfall. The importance of it has been mentioned thousands of times. Here I will use the book I am currently reading, “The 7 Habits of Highly Effective People” by Stephen R.Covey. To focus on higher-level responsibilities we need to have time for deep thinking. That why delegating tasks is the most important invention to stretch the workday.

Delegating is not just about assigning tasks to others, but rather empowering them to take responsibility for their work and develop their skills.

Of course we also distinguish “errand boy delegation”, where our team member is acting as "errand boys", carrying out tasks without having a significant impact on the overall success of the project. This is where we not only ask people for some results, but also requiring our methodology, what kills innovation and creativity. Sometimes team member can tell us, “just tell me what to do and I will do it”.

The opposite is “task delegation” which focuses on delegating specific tasks while empowering members to make decisions and take actions to achieve them. To achieve dreamed results our colleagues have to have clear understanding of what is needed.  Remember focus on results not method. This is an investment that pays off.  Nevertheless we should mentioned all restrictions. Guidelines has to be clear.

An adequate resources are also needed to achieve success. What resources, apart from its support, can a Project Manager provide? It depends on the organization. Occasionally, top management can be persuaded to open a new budget, spend more time, or provide on-site support through discussion with a team member's supervisor.

To establish responsibility and possible consequences, our message must be clear. An example of such a task could be creating an order or updating a famous schedule (timesheet), but also preparing a presentation with explanations of technical changes, which can take more than a few hours.

To sum up, delegating tasks increases work efficiency. But what is important. You should not be afraid of delegating tasks and it should be done according to certain rules, so as not to lower the morale of the team, but to increase their own value.
